Video Asset Guidelines

Before uploading any video please ensure that you have the appropriate rights to any footage, music or stills used. For example, music is often licensed by use (web, broadcast, etc…) and geography. While footage and stills are often licensed by use (i.e. online advertising, festival rights, etc…) only. TNC should have the appropriate rights to each of these mediums. If you have concerns or questions regarding licensing of any sort please consult videos@tnc.org and they will ensure that you are covered for upload.

In addition, please ensure that you have consulted the TNC Visual Identity Guidelines and adhered to all TNC brand standards before submitting your video for upload. The Video Team will review your Video and will request changes if they find that TNC brand standards have not been met.

Once your video has been reviewed and approved, you will be notified by the Video Team and you can locate the URL (and/or YouTube embed code) in the video metadata spreadsheet on Box. Once you have a link, the video can be embedded into a TNC webpage. When sharing a link to a video hosted on a TNC web property, it is important to link to the TNC page, NOT to a page on YouTube. This ensures that the link will not change if updates are made to the video and it will direct viewers to engage with other TNC resources. NOTE: Uploading a video to Box will not trigger a review and upload to YouTube. You must submit a request on the digital request form.

It is recommended that all video meet the following specifications before adding to the box folder. With the exception of the closed captioning (CC) file*, it is not mandatory that you follow these generalized recommendations for internet videos and they will not apply to all situations and intended audiences.

WEB VIDEO SPECIFICATIONS:

  • • Max file size 500MB - recommended 
  • • Max running time 5 minutes - recommended 
  • • File types: Quicktime (.mov and .mp4) - recommended 
  • • Closed Captioning (CC) file – required for all videos*

Uploading a new video from your computer

This section details the steps to follow when uploading a new video – 1) provide information about the video in the digital request form on Connect and upload required attachments - the closed captioning (CC) file (if video is not already captioned), any licensing documents, and optional thumbnail image; 2) upload video file to this Box folder; 3) Once you have received approval from the Video or Digital Team and been provided a YouTube link or embed code, embed your video on Nature.org. NOTE: All videos will be uploaded as unlisted. If you would like to make a case for making your video public, please contact videos@tnc.org.

Step 1. Provide Video Details and Documents: Navigate to the “Digital Issues List – New Video Upload Form” on Connect. Read the instructions at the top of the form, complete the form, include attachments, and submit.

Does the video meet brand standards?

Please follow TNC Brand Standards and check with the Video Team (videos@tnc.org) if you have any questions. The Video Team will check for adherence to brand standards before approving a video. 

What language is the video in?

If the language of the video is not English, please provide English subtitles.

You can check on the status of your request and all open requests on the Digital Issues List page on CONNECT. 

Step 2: "Upload Video Files Here." Upload the video file into this Box Folder. 

Step 3: Video Team Review - The request will get routed to videos@tnc.org and the video team will review the submission for adherence to brand guidelines. The Video Team will notify you if you need to make any changes before they upload the video. 

Step 4: Site Upload - If the video is approved, a member of the Video Team will upload the file(s) to TNC's unlisted YouTube page. 

Step 5: Video Link - The video link will be sent to you in an automated email from Connect. Look for an email from Connect confirming that you video has been uploaded. The URL for the Video will be in the email. The YouTube ID (a.k.a. Video ID) is the last string of letters and numbers in the URL. For example: 

if the URL is:      youtube.com/watch?v=F1MM2sMuEnU

the Video ID is: F1MM2sMuEnU

Embedding Responsive Video on AEM

Video should be added to a page using either the: 

  • YouTube Video Component or the 
  • Media Gallery component

These components will automatically ensure that the video is mobile responsive. 

Locating your YouTube ID: To use the YouTube Video Component on a page in AEM, you need to enter the YouTube ID into the "Video ID" field when authoring the component. 

The YouTube ID is a string of characters at the very end of a YouTube video URL, following the section of the URL with "watch?v=".

If your YouTube video URL is: https://www.youtube.com/watch?v=JsizRruWp2c

Your YouTube ID/Video ID is: JsizRruWp2c

Requesting an edit to an existing video

If you need to make a change to a video that has previously been added to Nature.org, submit a request through the Digital Request Form. Reminder: YouTube is not capable of swapping out a video and keeping the same link, so if you need a change to the video itself, your video will be reuploaded and you will receive a new link with new metrics (i.e. number of views).

How to Submit a Video Edit Request

  1. Go to the Digital Request site on CONNECT.
  2. In the list of category links, click the Video link.
  3. In the pop-up window, click the type of the request. For an edit to a video you would select “Edit to Existing Video.” This will open up a new page with a form to complete.
  4. Fill out the form field with a detailed description of what changes you are requesting and include the desired date for completion of the edits.
  5. Indicate the level of urgency by selecting the correct radio button, then click submit.
  6. You can check on the status of your request and all open requests on the Digital Issues List page on CONNECT.

Uploading a new audio file

In Adobe Experience Manager (AEM), audio files should be added to the Audios folder in the Digital Asset Manager (DAM) directly.

  1. Navigate to the Audios folder: From the AEM navigation panel, click on the Assets icon, then Files to view the list of asset folders. Then click tnc > nature > en > audios. Or, you can go directly to the Audios folder by clicking this link.
  2. Upload File:     
    1. Click the blue “create” button and select “Files” to open a file browser on your local machine. 
    2. Select the file and click “open”
    3. Edit the file name to remove any spaces or special characters (only letters, numbers, dashes, and underscores are permitted). Make sure to keep the file extension (i.e. .mp3) at the end of the file name 
    4. Copy the file name and click “upload” 
  3. Complete File Properties: • 
    1. Click the magnifying glass to bring up the search bar and paste in the file name and hit enter. 
    2. Select the file and click “Properties” in the toolbar 
    3. Fill out the required and recommended fields: 
      1. Title – Required 
      2. Description – Required 
      3. Copyright – Recommended 
      4. Usage Terms – Recommended 
      5. Geographic Location – Required 
      6. Topic – Recommended 
      7. Business Group – Required 
  4. Publish File: 
    1. After filling out the properties, click “Publish” in the toolbar. 
    2. Click “Save & Close” in the top right-hand corner of the console screen to save your work and exit the properties. 
  5. Add Audio File to Page: 
    1. You can use the Audio Component to embed Audio on Article Detail pages, Landing and Campaigns pages, Chapter/Program and Region Landing pages, Press Release pages, and Places we Protect pages. There are three variations of the component, shown below - text only, text over image, text below image. 
    2. You can also link to a file from the DAM. You can do this in a rich text editor or in a resource listing component. When a visitor clicks on the link, a new window will open and play the audio.
