Aprimo DAM Transition

Now-June 5: The DAM migration team is moving assets over from Vault, cleaning up metadata and finalizing the configuration of the DAM.
April - June 5: Asset managers from each program will be in the DAM adding metadata, tagging images, and learning the system. If you are an asset manager, check out the Asset Transformation page to learn more details about your role in the process.
Late May: Training and resources released to all staff to introduce and teach everyone the Aprimo DAM platform.
June 5 - June 15: The DAM migration team will QA the system, ensure assets are being catalogued appropriately, ensure the system is working as expected and resolve any bugs.
Tentatively - June 15: The Aprimo DAM is opened up to all staff.
June 30: The Enterprise Vault contract ends, any programs who wish to keep their Vault accounts will need to individually purchase an account.

For images that will not – or should not – be shared with outside audiences, we recommend that you use Box to store them. Some of these images only have value within the program, and these images do not belong in the new DAM.

Yes, the new DAM will be a source for all staff to source photography for all business needs. Any staff person can request a "consumer" account in order to download images. Yes, the new DAM will be a source for all staff to source photography for all business needs. Like with Vault now, there will be a permissions structure that allows general users to request hi-res downloads of images.

Yes, the future DAM will be integrated with AEM, Khoros (our social media tool – formerly Spredfast), and with email systems. This means that you will not need to upload and fill out photo properties to use an image in AEM or Khoros if it is already stored and labeled in the DAM.

Yes. While we won’t know exactly how it will look until we have a new DAM in place, we do know that either tool we pick will have a way to create collections of photos and share with external partners.

Yes! The new DAM will be an improvement on the AEM DAM. It will have more functionality, better workflows, easier search and organization, and will remove the need to save images in multiple places.

Yes, but regional accounts will not be grandfathered into the old pricing structure that some of the chapters enjoyed if there is no longer a Global TNC Vault account. Interested chapters will be placed on current Professional plan of $99/month for up to 250GB uploaded data. This will be true regardless of whether or not a chapter becomes a federated account this year.

TNC Vault Changes

In Summer 2019, we transitioned to an Enterprise Vault. What that means is that we will have one Vault license, rather than having multiple chapter and program Vault accounts. However, like before, if you could only see and manage your own program’s content in your account, this will be the same. Individual Enterprise Vault accounts will not automatically have access to others. If one state wants access to another state’s assets, they will have to arrange permission with that state or request a shared lightbox of the images they want. There will be a new drop down menu item for switching to view the WO account, which makes that process a little easier.

Hi-res download and social download work the same in the Enterprise Vault as they do now.

The Global Vault Account is meant as a resource where all of our best images are kept. You can guarantee that what you pull out of the Global Vault has been vetted and is considered high-quality and representative of TNC. To maintain the quality and usefulness of this library, it routinely needs to be assessed and anything that is no longer widely useful needs to be removed. Before migrating photos to the new DAM, the photo team has taken this opportunity to clean up the Global Vault. The photos that no longer make sense to be housed in the Global Vault are being moved into the program Vaults that correspond with the location of the photo. Around 60K photos have been cut from the Global Vault, and these photos will be transferred into regional accounts, or into a “holding” folder if a region does not have a Vault Account set up yet.

Photos that are being moved out of the Global account will disappear from lightboxes. We recommend noting where the photos are from so you can track them down from their owners OR look for an equivalent in the Global Vault. Many of the photos that are being pushed down to local accounts have a similar version in the Global Account.

Nobody’s content will be deleted. The plan is to move photos to an account in the Enterprise Vault where you can review the images and determine if they should be archived or migrated. If you do not currently have a Vault account, that will be created for you.

In the future, we will use the new Enterprise DAM as the single source for all images (and audio and design files) that we will use with external audiences. The Enterprise DAM will replace both Vault and the AEM DAM for image sourcing. The Enterprise Vault is a temporary tool provided to help with organizing assets for the migration. Our contract with Vault will end in June 2020.
